Position Summary

Reporting to the General Manager, this position supports the organization by providing administrative, accounting, and other support services required to provide excellent customer service. This position is responsible for the overall coordination and organization of the activities of the General Manager’s office. This position provides a key administrative support service for the senior management team, Volunteer Board of Directors and its committees.

Specific Accountabilities & Duties

  • Coordinating the Office of the General Manager and Senior Management Team, through; preparing agendas, minutes and attending various meetings; preparing reports and visual aids; managing all correspondence and drafting general replies for signature; dealing with matters of a confidential and sensitive nature.
  • Format and edit papers, correspondence, tables, reports, presentations in support of the Senior Management team.
  • Responsible for the overall administrative /office management functions of the organization
  • Liaising with members of the Board of Directors and other subcommittees/groups as required and attend Board of Directors meetings and all Sub-Committee Meetings of the Board.
  • Provides support to the Accounting team members including accounts payable, daily cash reconciliations, bank deposits, data entry in Accounting Program, processing memberships in registration system and auditing of files.
  • Filing correspondence and documents using appropriate document management system.
  • Undertaking other duties or special projects as assigned by the GM relevant to the development of the goals and objectives of the Centre and the position.

Qualifications

  • Diploma in Business Administration, or an equivalent combination of education and experience
  • 3-5 years office administration and/or EA experience is required
  • Proficiency with Microsoft Office software and computerized accounting software, email.
  • General working knowledge of accounting procedures and practices
  • Thorough knowledge of effective office procedures and records management
  • The successful candidate will need to complete tasks in a timely manner while showing sound judgement, excellent communication (oral and written), time management skills, discretion, and diplomacy
  • You must be highly organized and attentive to detail with the ability to solve problems and demonstrate initiative
  • Proficiency with common-office software (word processing, presentation, spreadsheet, and email) is required
  • Previous experience in a sport or recreation environment and experience with Board of Directors are considered assets for this position

Working Hours: 35 hours per week, Monday – Friday with flexible starting and end times, some evening work is required to attend Board and Sub-Committee meetings, flexibility with hours required to meet facility operations and demands.

    • Exposure to loud noises and ability to concentrate in a busy environment

    • The Canada Games Centre has a Mandatory COVID-19 Vaccination Policy which requires all employees to be fully vaccinated against COVID-19. Proof of full vaccination will be verified prior to the commencement of employment.

    Compensation

    Salary will be based on a range from $35,000.00 – $42,000.00.
